Becoming a notary public in Ohio is more than earning a new title. It is about stepping into a position of trust, responsibility, and service. Notaries play a crucial role in verifying identities, preventing fraud, and providing legal assurance across various industries, including real estate, banking, healthcare, and law.

If you are ready to become a notary in Ohio, or if your current commission is about to expire, it is essential to understand the exact steps required under state law. Recent updates have introduced new requirements for education and testing, and remote online notarization is now a growing option for professionals seeking greater flexibility.

This guide walks you through every step of the process, from eligibility and background checks to course enrollment, testing, and commission approval. Whether you are applying for the first time or expanding your notary services to include online work, Ohio Notary Services is the approved partner that can help you succeed.

Step 1: Understand the Role of an Ohio Notary

Before applying, it’s essential to understand the role of a notary public. Notaries are authorized by the state to witness signatures, administer oaths, and deter fraud in legal documents. In Ohio, there are two types of notaries:

  • Traditional Notaries: Can notarize documents in person.
  • Online Notaries: Can perform remote notarizations through live audio-video technology.

Step 2: Review the Eligibility Requirements

To become a notary in Ohio, you must:

  • Be at least 18 years old
  • Be a legal resident of Ohio or have a place of business or employment in Ohio
  • Have no disqualifying offenses on your record
  • Demonstrate sufficient knowledge of notarial duties

If you’re unsure about your eligibility, the Ohio Secretary of State outlines complete requirements on their website.

Step 3: Complete a Background Check

All new notary applicants are required to complete a BCI (Bureau of Criminal Investigation) background check. Make sure:

  • It is completed within 6 months of your notary application.
  • Results are sent directly to Ohio Notary Services.

You can schedule your fingerprinting through a local WebCheck provider.

Step 4: Register for the Required Notary Class

If you're a new applicant, Ohio law requires you to complete a 3-hour education course before taking the test. You can easily register for this through our website.

ONS is the only provider approved by the Ohio Secretary of State to offer both education and testing completely online, making the process convenient and accessible throughout the state.

Already a notary but need to renew? You may only need the one-hour renewal course—learn more here.

Step 5: Pass the Notary Exam

Once you complete the education, you’ll be directed to the online test. The exam consists of 30 multiple-choice questions, and you'll need a score of 80% or higher to pass.

Tip: Review your course materials before taking the test. Most students complete it in under 30 minutes.

Step 6: Receive Your Certificate and Apply for Commission

After passing the test, you’ll receive your Certificate of Completion from ONS. The next step is to apply for your notary commission with the Ohio Secretary of State.

To do this, submit:

  • Your ONS certificate
  • Your BCI background check confirmation
  • A completed application form
  • The state filing fee

You can submit your application online via the Secretary of State’s website.

Step 7: Order Your Notary Seal and Journal

Once your application is approved, you’ll receive your notary commission. To begin notarizing, you’ll need:

  • An Ohio-approved notary seal
  • A notary journal to log your notarizations

These can be ordered through trusted vendors, and many ONS partners offer bundled packages.

Step 8: Consider Becoming an Online Notary

If you want the ability to notarize documents remotely, you’ll need to take the Online Notary Authorization course. ONS is the exclusive provider of this training in Ohio.

This one-hour course explains:

  • Technology requirements
  • Identity verification processes
  • How to properly perform online notarizations

Once completed, you’ll take a short exam and then apply to the Secretary of State for your online commission.

Step 9: Stay Compliant with Notary Law

Being a notary comes with responsibilities. You must:

  • Understand and follow Ohio’s notary laws
  • Keep your commission current (renew every five years)
  • Maintain accurate records in your notary journal
  • Avoid unauthorized practice of law

ONS offers ongoing resources and refresher training to help you stay compliant and confident.
